1. Information We Collect — When you create an account or make a booking, we collect your first and last name, email address, phone number, and booking details (party room, date, time, guest count, food choices, allergy notes, and any admin/customer notes attached to the booking).
2. How We Use Your Information — We use this information to create and manage your bookings, send confirmations and digital entry passes, notify you of changes (reschedules, cancellations, refunds), and respond to enquiries. We do not sell your information to third parties.
3. Third-Party Services — We use trusted third-party providers to run the platform: Firebase (Google) for account authentication, Stripe for payment processing, Resend for transactional email, and Twilio for SMS notifications. Each provider only receives the information needed to perform its function, and each maintains its own privacy and security standards.
4. Payment Data — All card payments are entered directly into Stripe's secure, PCI-DSS compliant payment form. We never receive or store your full card number — only a reference (payment intent ID) and non-sensitive details like card brand and last 4 digits, used for your booking records and support.
5. Cookies & Local Storage — We use your browser's local/session storage to keep you signed in and to remember that you've passed the site's temporary preview gate. We don't use third-party advertising or tracking cookies.
6. Data Retention — We retain booking and account records for as long as your account is active or as needed to meet our accounting, tax, and legal obligations. You can request deletion of your account and associated personal data at any time (see below).
7. Data Security — Access to customer data is restricted to authorised staff accounts, and all traffic to our site is encrypted (HTTPS). We take reasonable technical and organisational measures to protect your information, but no online system can be guaranteed 100% secure.
8. Your Rights — Under the New Zealand Privacy Act 2020, you have the right to request access to, correction of, or deletion of your personal information. To make a request, email
[email protected].
9. Changes to This Policy — We may update this policy from time to time to reflect changes in our practices. The current version always applies and will be posted on this page.
